Role Overview

As a Boat & Yacht Sales Consultant at Strong’s Marine, you will play a critical role in connecting customers with their ideal boating solutions. Key Responsibilities

Office Manager

Position Summary: The Marina Office Manager is responsible for overseeing the daily operations of the marina office, ensuring efficient administrative processes, exceptional customer service, and compliance with all relevant regulations. This role involves managing reservations, billing, customer inquiries, and coordinating marina services while supporting staff and maintaining a welcoming atmosphere for boaters and visitors.


 

Job Specific Duties:

  1. Manage, recruit, train, and support the office staff in their daily duties and responsibilities, holding them accountable and helping develop their skills where necessary.
  2. Manage, recruit, and train summer dockhands. Collaborate with marina staff, dock attendants, and maintenance teams to ensure smooth operations and oversee completion of Daily Checklists.
  3. Manage and assist the office team with selling Boat Club, Rentals & Dockage – quote, create contracts, & send renewals on a yearly basis, post contracts, and communicate with clients to ensure all their needs are met and they return for following season.
  4. Collaborate with the General Manager regarding oversight and development of the team, process, and procedures.
  5. Assist the General Manager with the day-to-day operations in accordance with established culture, policy and procedure, and understanding that delighted, loyal employees and clients are the key to ongoing success and growth.
  6. Assist the General Manager with anything from project planning to staff management. Ensure all appropriate measures have been taken to enable vibrant, successful, safe and fun events and create memories for clients and/or Employees.
  7. Ensure top performance of office staff by providing adequate coaching/guidance, answering employee questions, providing needed support and information to help employees work productively.
  8. Perform annual evaluations of direct report’s work performance and share feedback with General Manager on other teammates as needed.
  9. Communicate with the Service Manager and General Manager in all important situations to ensure a smooth flow for our clients.
  10. Manage accounts receivable for the STL/SMR location. Review monthly financial reports and statements and detail the status of accounts receivable. Work with the Service team and General Manager on ensuring all work orders are billed correctly and collected in a timely manner. Communicate with our accounting team on any account that assistance is required.
  11. Answer phones creating a lasting impression demonstrating enthusiasm and using professional language, such as, in response to customer’s “Thank You” – rather than respond “no problem…” Try “Delighted to help, is there anything else we can do for you?”
  12. Listen actively to our customers’ needs. Be helpful directly or provide proper introductions to appropriate resource who can be of assistance.
  13. Impact Strong’s Marine Client Delight by problem solving and turning any frustrated clients into repeat customers if the situation arises. Listen carefully, apologize, solve the problem together, thank them for partnering with us to solve the problem, and later atone for any inconvenience with some consideration at your discretion to strengthen the relationship and build Client Loyalty.
  14. Learn and demonstrate a strong command of Strong’s Marine customer service policies and product knowledge that can enable quick and accurate assistance, training, and instruction to customers.
  15. Provide effective guidance and nurture a positive working relationship with staff, maintaining appropriate demeanor and professionalism that will strengthen client respect and the team.
  16. Maintain professional looking office space(s) and lobby to welcome customers and new walk-in visitors.
  17. Assist the General Manager in location evaluations to stabilize, strengthen, and organize internally on all levels. Support and assist in the process and workflow of service work orders, parts, warranty, and organizational needs.
  18. Manage routine office procedures including filing, processing of all correspondence by company President, Director, General Manager etc., processing payments from clients that either walk or call in and maintaining supplies.
  19. Maintain complete and accurate data within computer systems including customer and vessel records.
  20. Handle billing operations, mailings and processing of incoming mail and packages in a timely manner.
  21. Assist General Manager with any additional responsibilities as needed to run the day-to-day operations of the marina.
  22. Work Hours: The work schedule will be Monday – Friday year-round with the responsibility of ensuring coverage for weekends/holidays in season.
  23. Must be available to work occasional holidays and weekends when no coverage is available.

 

Qualifications

  • College degree preferred.
  • 2+ years related experience preferred.
  • Prior experience in office administration, preferably in a marina or hospitality environment.
  • Exceptional Customer Service Skills.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills.
  • Passion for the water and knowledge of boating and marina operations is a plus.
